Greenmeadow Youth Charter Standard Club
Our Club Motto is “Win, lose or Draw - Friendship through football” and our aim is to provide a SAFE and friendly environment to help the players develop football and teamwork skills with the emphasis on fun. Greenmeadow Youth football Club formed in 2000, and is now one of the biggest clubs in the Swindon area . All of our Managers have current CRB and Child Protection certificates and a large number passed FA coaching Badges with more planning to do theirs shortly. We are a voluntary Organisation and have received brilliant support from the local Community. We would like to thank you all for the help. The Charter Standard Club award was achieved at the beginning of the 2009/10 season and high lights the commitment everyone involve in the club has made to ensure we have the right approach and training to help your player develop in a constructive and positive environment.

a team, helping the club (training, paper work planning) or
sponsoring a team please contacts us and we will give you all the
support you need, no experience necessary, although you will need to
complete a CRB form with the club for working with children.

Age groups for teams are determined as follows;

Committee and Club Members will be allowed the opportunity to
vote during Meetings and AGM/EGM's
but everyone is welcome/encouraged to bring new ideas forward
and help the club to continue in the right direction
The responsibilities of each role is below. We are looking to fill the gaps ASAP so if you are interested, or wish to help out in any other capacity, then please complete the Volunteer recruitment form.
•The
AGM Will be held before the beginning of each new season
•The
committee should meet no less than 3 time as season
•The
Sub committee should meet no less 4 times a year
Honorary Roles The following roles are Honorary with life time, or as long as wanted, appointment.
President To ‘support’ the Club by attendance at formal events, such as the Annual Presentation evening and Cup Finals, to present awards along with any other invited guests. To act as host to invited guests such as sponsors, local dignitaries and those from other organization, such as the County Football Association, at League events. Ideally the role would be undertaken by an individual who would be considered for a Life vice Presidency of the club and is prepared to continue to serve the Club in a less time consuming manner than may be required of a member of the Committee. It is essential to have had previous experience of the Club, or a similar organization, through membership of a Committee or a similar administrative body. Preferably the person would have previously held operational positions within a similar organization and, if possible, have held either the position of Chair or General Secretary within a comparable and voluntary body.
Committee Election of officers and other committee members shall take place at the Annual General Meeting (AGM). Officers once elected shall be invited to serve for a period of 3 years. Nominations for any of the positions must be given to the Club Secretary and must have a Proposer and a Seconder. An individual may hold no more than 2 positions within the Committee and 3 roles within the Club. The committee should no less than three times a year, season start, mid season and season end, to review the club status and direction. In the event of any Officer or Committee Member being found guilty of Gross Misconduct, the officers and the Committee have the right to remove that person by a majority 70:30 decision.
Chairman To be an active and enthusiastic figure-head and ambassador for the club To assist with the running of the club at all levels and actively lead the club forward into the future To act in an advisory capacity to the club as a whole, and the Committee in particular To be responsible for the direction, policy and image of the club To act as Chairperson for the General Committee ensuring it fulfills all its responsibilities and commitments To ensure that the Constitution of the club is maintained at all times. To act as a focal point for all members and parents and be available accordingly To represent the club with the leagues, Referees Society and F .A. etc. at all times To ‘Chair’ formal general meetings of the Club, specifically the Annual General Meeting, but also any meeting of the Committee and/or Sub committee. To act as an advisor and or a point of appeal to Officers if they consider that the Committee is acting contrary to the rules of the Club or in such a way as to jeopardize the current workings and/or future well being of the Club.
Vice Chairperson To assist the Chairman in the running of the club. To act as deputy for the Chairman as and when appropriate
Secretary To be responsible for all aspects of membership as defined in the Constitution. To arrange the dates, times, places and agendas of all meetings. To ensure all members are informed of all meetings on a timely basis. To produce and issue a newsletter on a periodic basis to keep all members up to date. To act as liaison person with all team managers for arrangement of fixtures. To liaise with all opposing clubs over fixtures, venues, referees, kits etc. To arrange referee's for all home league fixtures To represent the club with the leagues, Referees Society and F .A. etc. at all times. To assist with the arrangement and execution of any club organized social activities. To maintain a Club register at all times, of all playing members. To collect Club registration fees from all players, within the appropriate timescale set out in the Constitution. To similarly maintain the league registration forms and fees for each league player and to submit to the WFA. To also keep a register of all temporary playing visitors and collect the associated fee. To make the registration records available to the Committee, upon request. To distribute the Club Code of Conduct to every member (not just playing members) and ensure that a signed copy is returned and filed. Oversee the day to day running of the club Attend, or arrange delegate, league meetings
Treasurer To maintain an accurate and up to date Book of Accounts at all times To be responsible for all moneys paid into and out of the club at all times. To keep and issue appropriate receipts for all transactions. To make the accounts available to the General Committee and auditor(s) on request. To actively make it his/her business to ensure all financial activity is handled properly. To ensure that the fees collected, reconcile to the playing membership list at all times. To ensure that all subscriptions are banked as soon as possible.
Child Welfare/Protection To be responsible for the welfare and protection of all the players and officials within the club. Keep up to date with all league, FA and legal requirements communicating to throughout the club. Create required documents and contracts to promote awareness the Clubs code of conduct for Child welfare. Be the first point of contact for anyone who has Child Welfare/protection concerns and provide guidance. Ensure all Officials working with children, within the club, hold relevant CRB and child protection
Discipline Secretary To review and process all complaints and disciplinary issues To arrange meetings and hearings as required Maintain disciplinary records
Minutes Secretary To create and distribute meeting agendas prior to a club meeting To keep adequate and appropriate records of all meetings and decisions To distribute any actions accordingly
Development & Recruitment/Volunteer Coordinator
To Advertise for new managers, assistants and Players Review and VET manager & Volunteer applications Assist club members, officials and Managers with there development requests in line with the Clubs Code of Conducts Maintain records of all Club officials certificates and qualifications
Fixture Secretary To be responsible for all fixture correspondence with the League. To inform all teams of their fixtures and advise of any alterations as may occur. To arrange home pitches and their allocations and when possible arrange all training facilities for the Club. To deal with all match reports from all teams as per the rules set out in the League Handbook. Will keep up to date records of all home fixtures and training facilities used by the Club.
School Liaison Officer To be responsible for maintaining links with local schools to help encourage new players & managers to join the club Maintain a good working relationship with local schools
Club Members Club members are registered volunteers performing various roles within the club but not part of the committee. Only Committee and club Members have the right to vote at meetings, AGM’s and EGM’s
Team Managers To represent the interests of his squad within the structure of the club. To conduct training sessions so as to adequately prepare the squad for competition in keeping with the ethos of the club. To maintain good standards of behavior and discipline within the squad. To make every attempt to ensure the safety of his squad at all times on and off the field. To be responsible for team selection for all fixtures. To attempt to give the less able players in the squad every opportunity to develop To be responsible for the management and condition of the designated kit(s). To ensure, with the secretary, that all fixtures are properly arranged, and completed. To ensure adequate availability of players to fulfill all fixtures. To ensure adequate transport facilities are in place for all away fixtures. To ensure collection of match subscription fees, fines and payment of referees. To communicate the results of all games and produce match reports after home fixtures. To ensure they and any Volunteers have the minimum required qualifications
Website and Press Officer To maintain the Club website To approve all press releases, communications and advertisements
All content published must be as a result of close liaison with the General Committee and be with their full and prior agreement.
Club Parent rep To represent the parents in Sub Committee meetings been their voice within the club Periodically poll the parents to gain an understanding of there feelings and requirements and communicate this with the club 1. |
